Privacy Policy

Vision HR is workplace software. Your employer uses it to run attendance, leave, shifts and payroll, and the VS-HR app is how you reach your own records from your phone. This page explains what the software holds about you, why, who else sees it, and how long it is kept.

Your employer decides what is collected and why. They hold the records; Vision Solution runs the software on their behalf and acts on their instructions. If you want something corrected or removed, your employer is the first place to ask — we cannot change your employment records on our own.

What the software holds

Not all of it applies to everyone. What exists depends on what your employer records.

Who you areName in English and Arabic, work email, phone number, profile photo.
Your employmentEmployee number, job title, department, branch, joining date, contract details, reporting line, and uploaded documents.
Identity documentsNational ID or Iqama number and expiry, passport details, and dependants' ID details where your employer records them.
Personal detailsDate of birth, nationality, marital status, religion and address, where your employer records them. These come from the HR file your employer keeps.
Bank detailsBank name and IBAN, used to pay you and to produce bank transfer files.
PaySalary, allowances, deductions, loans, end-of-service and GOSI figures, and every payslip issued to you.
AttendanceClock-in and clock-out times, breaks, late minutes and overtime, correction requests, and the location recorded at the moment you clock in or out.
Leave and requestsLeave balances and requests, overtime, excuses, resignations, and any file you attach — plus who approved what, and when.
Your deviceA notification token so the app can alert you, and basic device information stored with a punch.
Security recordsYour password, stored scrambled and never in readable form; sign-in codes; and a log of sign-ins and important changes.

Location

The app asks for your location only while you are using it, and only when you clock in or out. It is used to check whether you are at a work site your employer has set, and it is stored with that attendance record.

The app never follows you in the background, and never collects your location when it is closed. If you refuse the permission you can still use the app; whether you can clock in without it is your employer’s setting.

Face ID and fingerprint

You can lock the app with Face ID, Touch ID or your Android equivalent. That check happens on your phone and is handled by the phone’s own operating system. Vision HR never receives your face or fingerprint data, and never stores it.

Photos

The app asks for photo access only when you choose to set a profile picture or attach a document to a request. It reads the file you pick and nothing else — it does not browse your library.

Who else sees it

Inside your company, what people see depends on their role. A colleague cannot open your salary or your documents; your manager sees your attendance and the requests you send them; HR and payroll staff see what their job requires.

We use a small number of companies to run the service:

Google CloudHosting and the database, in Google's Saudi Arabia region (Dammam).
ResendSending sign-in codes and invitation emails.
Apple and GoogleDelivering push notifications to your phone.

We may also disclose records where the law requires it, or where a court or a regulator orders it.

We do not sell your data. There is no advertising in Vision HR, no advertising network, and nothing that follows you across other apps or websites.

How long it is kept

Your records are kept while you work for your employer, and afterwards for as long as Saudi labour, tax and social insurance rules require them to be kept — typically several years after you leave.

When your employer closes their account with us, their data is deleted or returned to them, other than anything we must keep by law.

How it is protected

Traffic between the app and our servers is encrypted. Passwords are stored scrambled so nobody — including us — can read them. Signing in needs a second step: a code sent to your email. Access inside a company is limited by role, and significant changes are written to an activity log.

Your rights

Under Saudi Arabia’s Personal Data Protection Law you may ask to see the personal data held about you, to have it corrected, and in some cases to have it deleted. You may also object to how it is used.

Ask your employer first, since the records are theirs. If you cannot resolve it with them, write to us at it@vsolution.com.sa and we will help. You also have the right to complain to the Saudi Data & AI Authority (SDAIA).

Children

Vision HR is for people at work. It is not designed for or directed at children, and we do not knowingly collect data from anyone under 18.

Changes

If this policy changes, the date at the top changes with it. Where a change materially affects you, your employer will be told so they can pass it on.
